Different ways to authenticate an Employee’s Time and Attendance

In the past, employee attendance was taken using Punch Cards; an employee would put their card into the time clock and it would punch the time onto the card. Then in the late 20th century, time clocks started to move to a digital system where RFID and swipe cards were used. While practical at the time, there were some major flaws with these systems.

One of the most common issues with Punch Cards, RFID card and swipe cards is that they can be shared among co-workers. If a co-worker is late, another co-worker can “buddy punch” them in by swiping the late employee’s punch card for them. This means that an employer may be paying an employee when they aren’t even there!

In order to combat this, a Biometric Time Clock requires you to punch in with something that can’t be shared; try sharing your finger!

There are many different types of biometric scanners, such as Fingerprint, Hand and Facial Recognition.

Fingerprint readers are the most commonly used scanners as they are very easy to use and set up. Simply press your finger against the reader; that is all it takes to take an attendance record. These devices work best in a Clean environment such as an office. Virtually everyone has a unique fingerprint as they are developed through a random process based off of your DNA as well as environmental factors. This is why even identical twins have different fingerprints.

Hand scanners are more robust and are able to be used in a more dirty or dusty environment such as a warehouse or factory as well as clean environments. These readers scan your entire hand to verify your identity. They take images of your hands and the shadow it creates, and then measures the length, girth, and other aspects of your hand and fingers.

Facial recognition seem like they are only used in top secret facilities to authenticate classified users, but they are actually becoming more commonly used as time and attendance devices. These devices can authenticate a user with touchless authentication; all you need to do is look into the camera! You might be wondering “Can’t I just print a picture of my face and put that in front of the scanner?”. These devices take a 3D image of your face and calculates the distance between your mouth, eyes, nose, etc., so you can’t simply show the scanner a simple image; you need to be physically there. These devices should be placed where the camera will not capture light sources such as light bulbs or direct sunlight. Since they are touchless, they can be placed in dirty, dusty or clean environments.

As you are not able to share your biometrics with another person, it makes it virtually impossible for someone to buddy punch their late co-worker in.

Card

Card scanners can be another way of taking attendance if you do not need to use biometrics to take attendance. These readers require a token, such as a barcode, RFID card or magnetic card to authenticate a user. Of course, employees can always buddy punch a late employee in. Since an employee will usually keep the ID card on them, even if their friend punches in for them, in most cases the late employee will still be on site.

Most of our Fingerprint readers and Facial recognition devices have a built in proximity card reader for the generic 125kHz card. You can even authenticate with an ID card and then finger/face recognition on the same device.

Register

Using Passwords for authentication is still a viable way of taking time and attendance as it is virtually a free way to take authentication; you don’t need to buy a scanner or cards. However, employees can buddy punch a late employee in and they don’t even need a physical token such as an ID card; they just need to tell their password. For simple attendance or even access time, this can still be a very viable way of recording time. Furthermore, a secretary at the front desk can punch people in as they walk through the front door.
